Accounting document archiving and document storage in the cloud.
You just send the photo. Receipts, invoices, bank statements: you send them on WhatsApp, by email or from the app and they arrive sorted in the company archive, without duplicates. Supplier invoices arrive by themselves from the Virtual Private Space (SPV).
How a company’s archive looks in eConta as it receives documents
What you get for documents
- “Where do I send the receipt?”On WhatsApp, by email or from the app; it arrives sorted in the company archive.
- “Did I send it twice?”Duplicates are recognised and do not enter the archive a second time.
- “Where are the supplier invoices?”They arrive by themselves from SPV, in the company archive.
- “How much have I paid a supplier?”Ask directly Radu, your AI CFO.

What the electronic archive does for you
Electronic archiving of accounting documents means you no longer keep files, you no longer search for receipts and you no longer send envelopes to your accountant. Documents go to a single place, in the cloud, and you and the accountant see the same thing.
Reads and sorts
Each document goes to its own category: invoices, receipts, bank statements, contracts.
No duplicates
Did you send the same invoice by email and on WhatsApp? Only one stays.
They reach the accountant by themselves
You no longer send envelopes at the end of the month. The accountant sees the document when you send it.
Take them with you any time
You export the whole company archive in one file; the download link comes by email. The company data stays yours.

Radu, your AI CFO

How long you keep accounting documents
The Accounting Law sets how long you keep each type of document, and the period differs from one document to another. Accounting registers and supporting documents are kept for years, and payroll statements for up to 50 years. The simple rule: you throw nothing away without knowing the period. Your accountant knows it for each document and tells you when needed.
Storing documents in the cloud saves you archive space and the risk of losing a paper. In eConta, documents stay in the company archive as long as you are a client, and you can download them at any time.
- Accounting registers and supporting documents: years, under the Accounting Law
- Payroll statements: up to 50 years
- Your accountant tells you the exact period for each document
What clients say
“I've worked with eConta for over a year, and what won me over is predictability. I send documents straight from WhatsApp, I get quick answers, and I know exactly what I have to do and by when. There is no more "I forgot" or "I didn't know".”
“The platform is well thought out: I have clarity on payment obligations, clear steps for what I have to do, and a predictable response time from the accountant. For an entrepreneur, that means being able to focus on the business, not on accounting.”
“I've been with eConta since the start of the company, in January 2024. I haven't missed a single payment deadline thanks to the notifications, and I can send any document straight from WhatsApp. Simple and hassle-free.”
“I use eConta to the fullest: invoicing, supplier notifications, recurring contracts, WhatsApp for documents, reminders for obligations. For a tech company like ours, it's exactly the kind of tool that disappears from view, because it simply works.”
Questions about document archiving
How long must accounting documents be kept?
Accounting registers and supporting documents are kept for years, under the Accounting Law; payroll statements are kept for up to 50 years. Your accountant tells you the exact period for each document of your company. In eConta, documents stay in the company archive as long as you are a client, and you can download them at any time.
What is electronic archiving of accounting documents?
The company’s documents are kept in digital form, sorted by category, not in paper files. And the accountant works on the same documents, without asking you for them again.
Can I send photos from my phone?
Yes, on WhatsApp or from the app. The document is read automatically and goes to the right category.
What happens if I send the same document twice?
Only one stays. If you sent the same invoice by email and on WhatsApp, the second copy appears as “Already uploaded” and no new document is created, and you do nothing.
How do I find a document in the archive?
Documents are grouped by category, in tabs (for example Invoices, Treasury, Accounting, ANAF, Contracts), so you open the category you need. You no longer search through a pile of paper or an old email.
Does it cost anything extra?
No, the archive is included in the plan, with no separate cost.
Can I download all my documents if I leave?
Yes. You export the whole company archive in one file, from Document archive, and you get the download link by email. The company data stays yours.
